Your AI voice agent captures caller information on every call — name, phone number, what they need, when they want it. If that information lives only in your AI platform and never makes it into the system where you actually manage your business, you've solved the phone problem and created a data problem.

The fix is integration: connecting your AI agent to your CRM, booking software, or job management platform so that leads flow automatically from call to your pipeline, without anyone manually copying anything anywhere.

Here's how it works, what tools you need, and where to start.

Why Integration Matters

Without integration, your workflow looks like this: AI captures a lead → you get a text or email notification → you manually enter the details into Jobber or your CRM → you follow up. That manual step is where leads get lost. It requires discipline to do consistently, it doesn't scale, and it creates a lag between capture and follow-up — which matters when the prospect is still comparing options.

With integration, the workflow is: AI captures a lead → lead appears automatically in your CRM or Jobber → you get a notification → you follow up. The data entry is gone. The lag shrinks to seconds. Nothing falls through the cracks because nothing requires human transfer.

How Integration Works: Zapier and Make.com

Most small businesses don't need a developer to connect their tools. Platforms like Zapier and Make.com (formerly Integromat) act as a bridge — they watch for events in one app and trigger actions in another.

In practical terms: when your AI voice agent completes a call and captures a lead, it sends that data (name, phone, service type, notes) to Zapier. Zapier then creates a new contact or lead in your CRM automatically. No code required, no developer involved — just a 15–30 minute setup using a visual workflow builder.

Both Zapier and Make.com have free tiers that handle most small business volumes. You'd only move to a paid plan once you're running hundreds of automations per month.

Common Integrations by Industry

Trades businesses (plumbers, electricians, HVAC) → Jobber
Jobber is the most widely used job management platform for Canadian trades. When an AI call captures a new lead, Zapier can create a new client record in Jobber with all the contact details and job notes pre-filled. Your team opens Jobber in the morning and the overnight leads are already there, ready to schedule.

General service businesses → HubSpot CRM
HubSpot's free CRM is a strong default for businesses that don't have a specialized platform. Each new lead from your AI agent becomes a new contact in HubSpot with a note attached, and you can set up automated follow-up tasks so nothing ages without action.

Health and wellness clinics → Jane App
Jane App is widely used by physiotherapy, chiropractic, and massage clinics in Canada. While Jane App's direct integration options are more limited, Zapier can bridge the gap — capturing AI call data and triggering a new patient inquiry notification with all the details pre-filled for whoever handles intake.

Any business → Google Sheets
If you're not using a CRM yet, the simplest integration is a Google Sheet. Every call that captures a lead adds a new row: timestamp, name, phone, service type, notes. You get a live spreadsheet of every inbound lead — simple to manage, easy to share, zero cost.

What Data Should Flow

At minimum, you want four fields moving from your AI agent to your destination system:

  • Name — as provided by the caller
  • Phone number — the number they called from or provided
  • Service requested — what they described needing
  • Call timestamp — when the call came in

Depending on your setup, you might also capture: urgency level, geographic area, preferred callback window, or how they found you. Only collect what you'll actually use — a simpler data flow is easier to maintain and less likely to break.

What to Do Before You Build the Integration

Before setting up the automation, spend five minutes mapping the flow on paper: what triggers it, what data moves, and where it lands. A clear picture of the intended workflow makes the Zapier setup straightforward and helps you spot gaps before they cause problems.

Also confirm that your AI platform supports webhook or Zapier triggers — most modern platforms do, but it's worth checking before you plan around it. If you're a Canadian AI Lab customer, we handle the integration setup as part of onboarding — you describe the destination system and we connect it.
