- Pick whichever one is costing you the most right now, not whichever sounds the most interesting

- Is it a status or stage field changing (e.g., a job moving to "quote sent" or "cold")?
- Is it a specific field updating, like an appointment date or a missed-call flag?
- Or is it a generic webhook firing from a tool that doesn't map neatly to a tag or status?
- Confirm the trigger fires reliably and only when it should — a trigger that fires too often (or not at all) undermines the whole campaign before it starts
- Check which system owns this event: Jobber, HubSpot, QuickBooks Online, ServiceTitan, Housecall Pro, Google Calendar, Calendly, or another webhook-capable tool
3. Define the Call's Goal and Script
An outbound call needs a single, clear job — not a loose script that wanders. Be specific about what a successful call accomplishes:
- Is the goal to book an appointment, confirm one, get a yes/no on a quote, or simply re-open a conversation?
- What should the agent say in the first ten seconds so the person understands why they're being called?
- What information does the agent need to collect or confirm before the call is considered complete?
- What should happen if the person isn't interested — a polite close, or an offer to check back later?
- What should the agent say if someone asks not to be called again? (This needs an exact, scripted response, not an improvised one.)
- Should the tone match your inbound agent's voice, or does an outbound context call for something slightly different?
4. Set Timing and Frequency Limits
Timing is often the difference between a follow-up call that feels helpful and one that feels intrusive:
- How soon after the trigger should the call go out — minutes, hours, or a set time the next business day?
- Does timing need to respect business hours, or a specific calling window (e.g., no calls before 9am or after 7pm)?
- How many attempts should be made if the first call goes unanswered?
- How much time should pass between retry attempts?
- At what point does the campaign give up and hand the contact back to a human, or drop it entirely?
5. Decide the Fallback
Not every outbound call gets answered, so the campaign needs a plan for what happens next:
- Should an unanswered call simply retry later, following the frequency limits set above?
- Should it fall back to a text message after a set number of missed attempts?
- Should it flag the contact for a team member to follow up manually instead of continuing to auto-dial?
- Does the fallback differ depending on the use case (a missed appointment confirmation may need faster escalation than a reactivation call)?
6. Consent and Opt-Out Handling
Anyone who asks not to be called again needs to actually stop being called — this is worth setting up carefully rather than trusting it will get handled ad hoc:
- Confirm how an opt-out gets recorded — a tag, a status flag, or a field update in your CRM
- Confirm that recording an opt-out immediately suppresses the contact from every future outbound trigger, not just the current campaign
- Decide whether an opt-out on one campaign (e.g., reactivation) should also apply to others (e.g., quote follow-up), or whether they're tracked separately
- Make sure the script gives the agent a clear, respectful way to acknowledge the request before ending the call
- Periodically spot-check that suppressed contacts are actually being excluded, especially after any change to your CRM setup
7. Review and Refine
A first campaign is a starting point, not a finished product. After the first couple of weeks:
- Review call outcomes — how many reached the goal, how many went unanswered, how many opted out
- Check whether the timing is landing well, or whether calls are going out too fast, too slow, or at inconvenient hours
- Listen to a sample of call transcripts to see whether the script is holding up in real conversations
- Adjust the trigger if it's firing too often, too rarely, or catching the wrong contacts
- Only once this first campaign is running smoothly, consider adding a second use case rather than expanding all at once
